5 Ideas for Conference Coffee Breaks That Impress Delegates

Conference coffee breaks may seem like a small part of an event schedule, but they can have a big impact on the overall delegate experience.

For organisers and caterers, these short refreshment windows offer an opportunity to provide a moment of indulgence while keeping service quick and efficient. The most successful coffee break menus combine visual appeal with simple service formats that work well in busy venues.

Here are five ideas to help caterers elevate their conference coffee break offer.

1. Add Colour with Bite-Sized Sweet Treats

Delegates often appreciate a small indulgence alongside their coffee or tea. Bite-sized desserts provide just the right amount of sweetness without feeling overly heavy.

Colourful options such as gluten-free French macarons can create an eye-catching display while offering a light sweet treat that pairs well with hot drinks.

2. Offer a Mix of Sweet and Savoury

While sweet treats are a popular choice, adding a savoury option can provide balance. Offering a small selection of savoury bites ensures there is something for everyone and can help keep delegates energised between sessions.

Warm options such as French bread rolls with Brie cheese, served alongside lighter bites, can add variety while remaining easy to prepare.

3. Keep Portions Manageable

Conference schedules are often tight, so food that can be eaten quickly and easily is ideal.

Small desserts such as petits fours or mini éclairs allow delegates to enjoy a treat without interrupting networking or returning late to sessions.

4. Think About Dietary Inclusion

Events often bring together diverse audiences, so offering inclusive menu options is increasingly important.

Products that are naturally suitable for vegetarian or gluten-free diets can help simplify planning while ensuring all guests feel catered for.

For example, gluten-free macarons allow caterers to provide a sweet option that many guests can enjoy.

5. Focus on Presentation

Even a simple coffee break can feel more special with thoughtful presentation.

Arranging desserts on tiered stands, displaying colourful macarons on platters or creating small dessert selections can instantly elevate the perceived value of the offer.

For busy conference venues, small details like these can make a lasting impression.

Conference and Event Catering Ideas for Busy Venues

Spring and summer are some of the busiest months for conference and event catering, with venues hosting everything from corporate meetings and networking receptions to graduation celebrations and large-scale hospitality events.

For caterers, these occasions present both an opportunity and a challenge. Guests expect food that is visually impressive and memorable, yet catering teams must also manage the operational realities of high-volume service, tight schedules and limited preparation time.

Finding the right balance between presentation, efficiency and consistency is key.

The Growing Importance of Conference and Event Catering

The UK events sector contributes more than £61 billion annually to the national economy, with conferences, meetings and business events forming a significant part of this activity.¹

Universities, conference centres, corporate venues and hospitality spaces are all playing an important role in hosting these events. From academic symposiums and public lectures to graduation ceremonies and corporate hospitality, catering teams are delivering a wide range of foodservice formats throughout the year.

These occasions are often high-profile moments for venues. Well-presented food, seamless service and thoughtful menu planning can significantly enhance the overall guest experience.

Popular Menu Ideas for Conferences and Events

Conference and event catering menus typically favour bite-sized dishes and flexible formats that are easy to serve and enjoy while networking.

Canapés remain a staple of drinks receptions and hospitality events, allowing caterers to offer variety through combinations of seafood, cheeses and vegetable-led options. Selections such as Tipiak’s Luxury Temptation Canapés or Traditional Chicago Canapés provide a mix of flavours and textures suited to standing receptions and informal hospitality occasions.

Vegetarian and plant-based options are also increasingly important. Tipiak’s Provençal Bistro Canapés, for example, offer a colourful selection of vegetable and cheese-based bites served on a variety of bases including polenta, brioche and walnut bread. Meanwhile, the Vegan Cocktail Selection helps caterers accommodate plant-based preferences without adding complexity to service.

Alongside cold canapés, warm savoury bites can add variety to event menus. French bread rolls with Brie cheese, filled with Brie and mozzarella sauce, provide a comforting hot option that works well alongside canapé selections at drinks receptions or networking events.

Sweet elements also play a key role in conference hospitality. Bite-sized desserts such as French Chocolate Petits Fours, Classic French Petits Fours and Pop Mini Éclairs provide an elegant finish to formal dinners, receptions and conference hospitality.

And for coffee breaks or dessert displays, Tipiak’s colourful gluten-free French macarons add visual appeal while supporting inclusive menus for guests with gluten-free requirements.

Presentation Matters

When it comes to conferences and events, presentation can have a major impact on how food is perceived.

Guests often eat with their eyes first, so visually appealing dishes can elevate the entire hospitality experience. Colourful desserts, elegant canapé platters and thoughtfully arranged displays can bring vibrancy and theatre to buffets, drinks receptions and hospitality tables.

Macarons, for example, can be arranged into eye-catching displays or served alongside coffee during refreshment breaks, while curated selections of petits fours and mini éclairs introduce variety through different shapes, textures and flavours.

These small details help create a sense of occasion that guests remember long after the event.

Making Service Simpler

Behind the scenes, however, catering teams must also deliver events efficiently.

Large guest numbers, multiple functions and tight service windows mean kitchen teams need solutions that help maintain consistency while reducing preparation pressure.

Frozen, thaw-and-serve products can play an important role here. Because items arrive fully prepared and portion controlled, caterers can focus on plating and presentation rather than time-intensive preparation.

This approach also helps reduce food waste, supports accurate planning and allows teams to deliver consistent results across multiple events.

Delivering Memorable Event Experiences

Ultimately, successful conference and event catering combines strong visual presentation with operational simplicity.

By choosing products that are both elegant and easy to prepare, caterers can deliver food that impresses guests while keeping service smooth and efficient.

For busy venues managing conferences, receptions, graduations and hospitality events, this balance is essential.

INCLUSIVE DESSERTS, MADE SIMPLE: THE CASE FOR GLUTEN-FREE MACARONS

Gluten-free catering has come a long way. It used to mean a separate option, kept apart from the main menu and often a little apologetic about it. Today, things look very different — and with the right products, offering something genuinely inclusive has never been easier.

More guests than you might think need gluten-free

Around one in 100 people in the UK has coeliac disease — a condition where a strict gluten-free diet isn’t a lifestyle choice, it’s a medical necessity. On top of that, a further 2.9 million people choose to avoid gluten for other health or lifestyle reasons. That’s a significant proportion of any guest list.

Add in the growing expectation that good menus simply cater for everyone — and it becomes clear that allergen-free options aren’t a niche add-on. They’re part of what thoughtful, professional catering looks like now.

Gluten-free doesn’t mean second best

One of the biggest shifts in recent years is quality. The gluten-free options of a few years ago could be, frankly, underwhelming — a compromise that guests would notice. That’s no longer the case.

Tipiak’s gluten-free macarons are made to exactly the same standard as our classic French pâtisserie — authentic recipes, made in France, in a dedicated gluten-free production area. The result is a macaron that looks beautiful, tastes delicious, and happens to be gluten-free. Your guests won’t feel like they’re settling for less. Because they’re not.

Practical for you, too

As well as being a great product for guests, our gluten-free macarons make life simpler in the kitchen. They’re supplied frozen and ready to thaw and serve — no preparation needed, no cross-contamination risks to manage, and consistent results every time. Each product comes with full allergen information, so front-of-house teams can answer guest questions with confidence.

Their bite-sized format works brilliantly across a wide range of occasions too — afternoon tea, dessert buffets, events, hospitality — and they’re versatile enough to be served individually or as part of a wider dessert offering.

The Tipiak gluten-free macaron range

  • Classic French Macarons — six flavours including Lemon, Salted Butter Caramel, Raspberry, Pistachio, Vanilla and Chocolate Pop Macarons Fruits — six vibrant fruit flavours including Passionfruit, Lemon and Yuzu, Cherry and Griotte, and Coconut
  • Heart Shaped Macarons — Chocolate and Strawberry, a beautiful option for special occasions and events
  • All made in France, all gluten-free, all thaw and serve.

Making your menu more inclusive doesn’t have to mean more complexity. With Tipiak’s gluten-free macarons, it simply means better options for more of your guests — and a little more French elegance on the plate.

ENHANCING THE HOT DRINK MOMENT WITH SMALL SWEET ACCOMPANIMENTS

Hot drinks play an important role across catering environments, from mid-morning coffee breaks to afternoon tea occasions. More than just a beverage, tea, coffee and hot chocolate create moments of comfort, routine and connection for customers.

Increasingly, operators are looking at simple ways to enhance these moments without adding complexity to service. One effective approach is to offer a small, premium sweet accompaniment alongside hot drinks. This adds perceived value and a sense of indulgence, without the need for full dessert menus or additional preparation.

Bite-sized formats work particularly well in this context. Smaller portions feel approachable, help manage intake and allow customers to enjoy a treat without feeling overwhelmed. For caterers, they also support portion control, consistency and reduced waste — all key considerations in busy service environments.

Visual appeal is another important factor. A single, well-presented sweet item served with tea or coffee can help elevate the experience, making the hot drink moment feel more considered and enjoyable. Familiar flavours and recognisable formats encourage engagement while keeping choices simple.

From an operational perspective, ease of service is essential. Sweet accompaniments that are easy to handle, quick to serve and require minimal preparation help maintain smooth service during peak periods. Frozen, thaw-and-serve products offer added reassurance, delivering consistent quality and predictable portion sizes while reducing preparation time.

Pairing flavours with hot drinks

Flavour pairing can subtly enhance the enjoyment of hot drinks without adding complexity:

· Coffee pairs naturally with chocolate, caramel or vanilla flavours, complementing bitterness with richness.

· Tea, particularly black or Earl Grey, works well with citrus or fruit-led flavours that add balance and freshness.

· Hot chocolate can be elevated with soft vanilla or chocolate accompaniments for a comforting, dessert-style moment.

These familiar pairings reinforce the comfort and enjoyment associated with hot drinks, while still allowing operators to introduce variety and interest.

Tipiak Foodservice’s range of gluten-free French macarons offers caterers a simple way to enhance hot drink service. Light, portion-controlled and visually appealing, they are easy to integrate into existing menus while supporting consistency and quality.

If you’re a foodservice operator looking to add value to your hot drinks offer, small, sweet accompaniments can make a big difference.
